Privacy Policy

VoiceBillr helps contractors and field-service businesses create, review, send, and track invoices and estimates. This Privacy Policy explains what information we collect, how we use it, and how to contact us about your information.

Information We Collect

Account and authentication information. We collect information needed to create and secure your account, such as your email address, authentication provider, Cognito user ID, device push token if notifications are enabled, and related account metadata.

Business profile information. We collect business details you enter, such as business name, occupation or trade, business email, phone number, logo, payment settings, tax settings, working hours, scheduling preferences, and language preferences.

Customer and job information. We store customer names, customer emails, phone numbers, addresses, job notes, invoice and estimate line items, quantities, prices, due terms, tax values, totals, proof photos, job status, payment status, and related invoice, estimate, client, and job records that you create or approve.

Voice recordings and AI draft inputs. Voice recordings are collected when you record job details. Transcripts, invoice or estimate text, customer details, line items, notes, and business context may be processed to draft invoice and estimate fields for your review.

Files and media. If you upload a business logo, proof photo, line-item photo, or other supported image, we store it so it can be displayed in the app, on generated documents, or in customer-facing views.

Payment and transaction references. If you connect Stripe or Square, we store provider connection status and limited payment references needed to create links, track payment status, and reconcile invoices. Card data is handled by Stripe, Square, Apple, or the relevant payment provider, not by VoiceBillr.

Support and diagnostics. When you contact support, we may receive your support request, app version, platform, environment, user ID, support/debug IDs, and the details you choose to include. Production logs may contain request IDs, action names, non-sensitive references, latency, and error status used to operate the service.

How We Use Information

We use the information we collect to:

  • create and secure your VoiceBillr account;
  • transcribe job recordings and draft invoices or estimates;
  • let you review, edit, save, send, share, and track invoices and estimates;
  • generate customer-facing links and PDF previews;
  • send account, invoice, estimate, payment, receipt, reminder, and support emails;
  • process payment links and payment-status updates through providers you connect;
  • support scheduling, jobs, reports, customers, and business settings;
  • detect abuse, apply quotas, protect public links, and secure uploads;
  • troubleshoot bugs, investigate support requests, and monitor service reliability;
  • comply with legal obligations and enforce our Terms of Service.

AI Processing Disclosure

VoiceBillr uses AI and transcription services to process user-provided audio, transcripts, invoice or estimate text, customer details, and job context for the purpose of drafting invoice and estimate fields.

AI-generated output may be incomplete, incorrect, duplicated, or misunderstood. Users must review and edit customer details, line items, quantities, prices, notes, taxes, totals, due terms, and delivery details before sending anything to a customer.

VoiceBillr does not use AI for eligibility, credit, employment, housing, insurance, medical, legal, financial, or other high-impact automated decisions.

Service Providers

We use trusted service providers to operate VoiceBillr, including cloud hosting, authentication, storage, email delivery, push notifications, AI transcription/parsing, payment processing, analytics or operational monitoring, and app distribution services.

Stripe and Square process card and connected-account payments under their own terms and privacy policies. VoiceBillr is not the merchant of record for contractor services sold by users to their customers.

Apple may process information related to App Store downloads, in-app subscriptions, purchases, cancellations, and refund requests under Apple's policies.

SMS and Messaging

Automated SMS is not part of the public launch unless explicitly enabled after required registration and compliance work is complete. VoiceBillr may offer copy-link or "text from my phone" handoff tools where the user sends the message from their own device.

If automated SMS is enabled in the future, mobile information and SMS opt-in data will not be shared with third parties or affiliates for marketing or promotional purposes. SMS consent data would be used only for service-related messages requested through VoiceBillr.

Data Retention

We keep account, business, customer, invoice, estimate, job, payment status, and support records while your account is active or as needed to provide the service, resolve disputes, comply with law, and protect the service.

Voice recordings are retained for a limited period for processing, troubleshooting, and abuse protection, and are configured to expire from production audio storage after 90 days. Proof photos are retained longer because they may support invoice, estimate, job, or customer records. Operational logs are retained for reliability, security, and support.

Generated PDFs are rendered on demand and generally are not stored as permanent files by VoiceBillr. Email providers, payment providers, app stores, customers, or other third parties may keep their own records.

Account Deletion

You can delete your account from the VoiceBillr app in Settings. Account deletion removes VoiceBillr account data, business profile records, customers, invoices, estimates, jobs, stored recordings, logos, uploaded proof photos, and connected-provider metadata where technically possible.

Some information may remain where deletion is not technically possible or where another party controls the record, such as emails already delivered, customer copies, payment-provider records, App Store purchase records, legal compliance records, backups retained for a limited period, or security logs.

Your Choices

You can update business profile details, payment settings, customer records, and invoice or estimate drafts inside the app. You can disconnect supported payment providers from Settings. You can disable push notifications through your device settings or VoiceBillr settings where available.

You should not enter sensitive customer information that is not needed to create or collect on an invoice or estimate.
